This Cancellation Policy (“Policy”) applies to all reservations made through stayelkhornlodge.com, by phone, or through authorized booking partners. By booking a stay, guests agree to the terms outlined below.

1. Standard Reservations

1.1 Free Cancellation Window

Guests may cancel their reservation up to 48 hours before the scheduled check‑in time with no penalty.

1.2 Late Cancellations

Cancellations made less than 48 hours before check‑in will incur a fee equal to:

  • One night’s room rate, plus applicable taxes and fees.

1.3 No‑Show Policy

If a guest does not arrive on the scheduled check‑in date and does not contact ElkHorn Lodge:

  • The reservation will be marked as a no‑show
  • The guest will be charged the full first night’s rate
  • The remaining nights may be cancelled without refund

2. Long‑Term & Contractor Stays

ElkHorn Lodge frequently hosts construction crews, traveling tradespeople, and extended‑stay guests. The following terms apply to weekly or monthly reservations:

2.1 Weekly Stays

  • Cancellations must be made 72 hours before check‑in
  • Late cancellations incur a fee equal to three nights’ stay

2.2 Monthly Stays

  • Cancellations must be made 7 days before check‑in
  • Late cancellations incur a fee equal to one week’s stay

2.3 Early Departures

If a long‑term guest checks out earlier than planned:

  • The unused portion of the stay is non‑refundable
  • Rate adjustments may apply if the stay no longer qualifies for long‑term pricing

3. Group & Crew Reservations

For reservations involving multiple rooms or crew bookings:

  • A 7‑day cancellation notice is required
  • Cancellations within 7 days may incur a fee equal to 50% of the total reservation cost
  • Crew leaders are responsible for communicating changes to ElkHorn Lodge

4. Modifying a Reservation

Reservation changes (dates, number of guests, room type) are subject to availability.

  • Modifications made within the cancellation window may incur fees
  • Rate differences may apply

5. Weather, Travel, or Work Delays

ElkHorn Lodge understands that contractors and travelers may experience delays due to:

  • Weather
  • Jobsite changes
  • Transportation issues

However, unless the property is inaccessible or closed, standard cancellation terms still apply.

6. Property‑Initiated Cancellations

ElkHorn Lodge may cancel a reservation due to:

  • Safety concerns
  • Property damage
  • Maintenance emergencies
  • Guest policy violations
  • Non‑payment

If ElkHorn Lodge initiates the cancellation for reasons unrelated to guest conduct, a full refund will be issued.

7. Refund Processing

Approved refunds will be issued to the original payment method.

  • Processing time: 3–10 business days
  • ElkHorn Lodge is not responsible for delays caused by banks or card processors
